12/10/03 Text for Newsletter Ads policy The Empire Runners Club newsletter does not accept paid advertising. However, as a service to club members, we will publish information from any business that offers Empire Runners a 10% (or more) discount on goods or services ascertained by the editors to be of interest to club members. Businesses should submit the following information: name of business, goods or services offtered, discount amount, any time limits on the discount, phone number and/or address, and any other important details. Businesses may submit their own copy, which may be subject to merciless editing. This information will be published every month in perpetuity, space permitting, unless withdrawal of the offer is requested by the business. If interested, please contact any of the editors. The one exception to this policy would be in regards to race flyers. The fee for race flyers is $50 full-page, $30 half-page.
4/24/03 Policy on advertising other races (on the website or in the newsletter) 1.The club doesn't promote ANY event that directly conflicts with one of our own. 2.If the website link costs nothing and someone is willing to post it, do it for any and all races possible. It makes our website more useful to our members. 3.Charge at least $50 for ANY event to put a full page flyer into our newsletter. The postage, printing and labels for mailing the flyer SEPARATELY to our membership would cost at least $150.
4/25/03 Spending Guidelines (Lyman Doctrine) Submitted for Approval by: Dale M. Peterson – President Empire Runners Club Approved by Membership: 10/24/2002 Effective: 10/25/2002 In order to minimize the possibility of abuse of club funds or general rancor concerning expenses, the following guidelines will be followed at all times: All expenditures of club money by members or officers are subject to approval by membership at a club membership meeting. Expenditures prior to membership approval are allowed as follows but must be reported to the membership at the next club meeting and are subject to disallowance (that is, someone can move to disallow the expense; if no such motion is offered, the expense stands approved): - The club president may approve expenditures up to $100. Expenditures in excess of $100 must be approved by a majority of the board of directors (3 officers). - Race Directors may spend club funds as necessary for the promotion and production of their events within limits established by precedent for each event or by an event of equal size. - Newsletter Editors may spend funds for printing and postage for the club newsletter. - Those members designated to purchase uniforms, print club publications, or acquire supplies necessary for the normal function of the club may do so. All expenditures must be reported at the next scheduled club meeting and are subject to disallowance by the membership.
